Conference Secretary
Organise a part-time conference secretary. The budget (2000 pounds) will pay for about 1 hour a day for most of 9 months, plus desk-sitting time at the conference (i.e. about 250 hours). The expected breakdown of time is:
- January: 1 hour per week (total 5 hours).
- February: 1 hour per week (total 5 hours).
- March: 2 hours per week (total 10 hours).
- April: 2 hours per day (total 40 hours)
- May: 1 hour per day (total 20 hours, mostly at end of month)
- June: 1 hour per day (total 20 hours, mostly at beginning of month)
- July: 1 hour per day (total 20 hours, spread throughout month)
- August: 1 hour per day (total 20 hours, spread throughout month)
- September: 20 hours last-week preparation, 20 hours during conference week
for a total of 180 estimated hours.
The main responsibilities of the secretary are:
- General:
- Log in daily to bmvc96 and check/reply to email (on tricky questions: ask academics).
- Around July 8
- Collect final camera-ready copy
- Assemble into proceedings
- Throughout summer (mainly before 1 August)
- Collect and process registration forms (est 100-200)
- Reply to special accommodation queries from registrants
- Collate delegate bag contents
- At conference time (PG assistants will also help with this)
- Assist with last minute setup
- Do on-site greeting of arriving delegates (hand out folders, badges, proceedings, assist with accommodation details, etc.)
- Sit at conference desk for much of the time
- Assist with post-conference cleanup.
